Position: Office Administrative and Accounting Support- Commercial Interior Design
Location: Rochester, New York
Job Type: Full-time
Pay: Depending on experience, $20-24/hr
Medical benefits, Dental and Vision Insurance, PTO and 401k all to be

Job Summary:

As an Office and Admin Assistant, you will play a crucial role in providing essential support to both the client-facing and operations teams. Your responsibilities will include, but are not limited to:  handling client inquiries, supporting the operations team in reviewing punch list items, managing outstanding orders, maintaining status reports, handling warranty and service lists, and assisting with proposals, presentations, and installation scheduling.

Job Summary: We are seeking an organized, detail-oriented, and customer-focused individual to join our team as an Administrative and Accounting Support. This position will be responsible for providing administrative support to various departments, managing client relationships, and assisting with accounting tasks. The ideal candidate has strong communication skills, experience in office administration, and a background in basic accounting.
Essential Job Functions:
  • Manage client relationships by maintaining professional communication with customers, ensuring high levels of satisfaction.
  • Answer Phones
  • Create budgets and quotes, utilizing relevant software for accuracy.
  • Ensure quality standards are met for both products and services in alignment with company guidelines.
  • Prioritize tasks and manage time effectively to ensure efficient scheduling and office systems.
  • Handle sensitive information with discretion, ensuring confidentiality and compliance with privacy policies.
  • Meet deadlines and adapt to changing priorities in a fast-paced environment.
  • Assist with customer inquiries, walk-ins, answering phones, scheduling appointments, and providing product and pricing information.
  • Support sales, design, and operations teams by managing schedules, organizing files, and handling administrative tasks.
  • Maintain accurate records, including customer/project data, sales reports, and inventory.
  • Perform other support tasks as required, including preparing materials for meetings, managing expenses, coordinating events, and handling travel logistics.
  • Assist with general office duties such as answering phones, filing, and other tasks as assigned.
Qualifications:
  • Minimum of 2 years of experience in a similar administrative role.
  • Proficient in Microsoft Excel, Outlook, and CRM databases.
  • Strong organizational and time management skills with attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to work in a fast-paced, team-oriented environment.
  • Positive attitude, professional demeanor, and strong customer service skills.
Accounting Responsibilities:
  • Invoice customers and enter vendor payables.
  • Reconcile Accounts Payable (AP) and Accounts Receivable (AR)
  • Reconcile monthly credit bills.
  • Make collection calls as necessary.
  • File sales tax reports and follow up on credits due from vendors.
  • Assist in closing monthly financial reports.
Customer Service Responsibilities:
  • Provide support to the sales team by assisting with administrative tasks.
  • Help customers with inquiries, ensuring excellent customer service.
