Headquartered on the west side of Rochester, our client seeks an Assistant Project Coordinator to perform key operational tasks and communicated with colleagues to help ensure bids and project-related documents are submitted accurately and on timely to contribute to its strong culture. Ideal candidates will have excellent communications skills with strong ability to give and take directions. This role will directly shadow senior leaders in this of this $17M+ company, ultimately becoming a leader in this organization.
Candidates with Construction Management, Business Administration, or Project Management backgrounds are welcome to apply. Experience in a construction-based setting is preferred, but not required. Details: Monday-Friday, 8a-5p Pay: Depending on experience, starting at $18/hr+ 4 Year Degree highly preferred, will consider less degree with experience Summary: Organizes tasks and communication with colleagues to help ensure bids and project-related documents are submitted accurately and on schedule. Also responsible for organizing the bid calendar, completing all paperwork related to bid projects, and supporting the critical administrative needs of project managers in the Bid Team. This person will also assist with take-offs and submitting estimates on projects for our team. This position will work closely with the Director of Project Management. Duties:
Implement, improve and communicate policies and procedures to help the various activities of the bid team to be efficient and effective
Manage deliverable due dates for the team
Support the work of Project Managers and bid team
Foster communication within the team and between the team and other office personnel.
Assemble and prepare material submittals for project review
Prepare and execute material orders and project procurement
Promptly and thoroughly prepare and submit all aspects of AIA billing (pencil copies, fully executed copies, lien waivers, etc.)
Prepare project close-out binder
Maintain jobs control database
Maintain schedule of values
Follow up on past due payments
Complete GC prequalification paperwork when needed and confirm with key GCs that our prequalification is up to date
Regularly update standard operating procedure documents for the team
Communicate information with field installation teams

Qualifications:
Bachelor’s degree, preferably in a related field
Minimum two years’ experience with similar responsibilities and/or transferable skills
Familiarity with a variety of the field’s concepts, practices, and procedures.
