Part-Time Bookkeeper & Billing Coordinator
Location: Rochester, NY (Hybrid – Local Candidates Preferred)
$25–30/hour | Approx. 16 hours/month | Flexible Schedule
TES Staffing is thrilled to be supporting a Rochester-based consulting and professional services firm, in seeking a detail-oriented and dependable Bookkeeper & Billing Coordinator to support their growing financial operations. This part-time role is ideal for someone with strong QuickBooks experience, excellent organizational skills, and the ability to work independently—with the flexibility to manage a light but critical workload.

This small organization provides strategic development and advisory services across sectors. In addition to the core business, they manage several subsidiaries, including a commercial office property, a farm property, and a newly launched development venture.
Billing & Invoicing (Primary Priority)
Manage monthly invoicing through QuickBooks (billing occurs on the 1st of each month).
Pull hourly data and milestone deliverables from T-Sheets and translate into accurate, professional invoices.
Light editing of Statements of Work to reflect accurate, time-based billing (similar to legal invoicing).
Follow up on unpaid invoices, monitor receivables, and perform light collections.
Track and reconcile incoming checks, wires, and ACH payments.
Monitor contract payment terms and conduct mid-month receivables checks.
Bookkeeping & Financial Tracking
Monthly bookkeeping and expense tracking for the company and its subsidiaries
Reconcile accounts connected to QuickBooks and linked bank accounts.
Process tenant checks and maintain up-to-date financial records.
Support reorganization of accounting workflows to align with the companys growth.
Experienced in QuickBooks (including invoicing and bank integrations).
Comfortable handling finance-related communications and documents independently.
Familiar with time-based or milestone-based billing models (e.g., consulting, legal, or similar professional services).
Highly organized, self-directed, and dependable with attention to detail.
Excellent communication and follow-up skills.
Able to handle sensitive financial information with discretion.
Approx. 16 hours/month (may fluctuate slightly).
Flexible schedule — work anytime that suits you, as long as invoices go out on time (1st of each month) and receivables are tracked.
Hybrid preferred — local candidates who can visit the Rochester office occasionally are strongly preferred. Most work can be done remotely.
Hourly pay: $25–30/hr, based on experience.
Hired through TES Staffing, with indefinite placement.
Start date: Ideally by early June to support a smooth transition of duties.
