Position: Administrative Assistant - Commercial Interior Design
Location: Syracuse, New York (In person)
Job Type: Full-time
Reports To: Operations Manager
Pay: Depending on experience, $20-23/hr
  Medical benefits, Dental and Vision Insurance, PTO and 401k all to be
received 
after three months of successful employment 

Job Summary:

As an Administrative Assistant, you will play a crucial role in providing essential support to both the client-facing and operations teams. Your responsibilities will include, but are not limited to:  handling client inquiries, supporting the operations team in reviewing punch list items, managing outstanding orders, maintaining status reports, handling warranty and service lists, and assisting with proposals, presentations, and installation scheduling.
Responsibilities:
  1. Client Interaction:
    • Serve as the first point of contact for client calls and inquiries.
    • Provide professional and friendly assistance to clients, addressing their questions and concerns promptly.
  2. Operations Support:
    • Assist the operations team in reviewing punch list items and ensuring timely resolution.
    • Manage outstanding orders, tracking shipments, and coordinating deliveries with vendors.
    • Maintain detailed status reports for ongoing projects.
  3. Warranty and Service Management:
    • Handle warranty-related communications and coordinate service requests.
    • Maintain accurate records of warranty information and service history.
  4. Proposal and Presentation Assistance:
    • Collaborate with the design team to assist in the preparation of proposals and presentations.
    • Ensure that all necessary documentation is organized and readily available for client presentations.
  5. Install Scheduling:
    • Assist Coordinate installation schedules in collaboration with the operations and design teams.
    • Communicate installation timelines to clients and ensure all logistical details are accounted for.
  6. Administrative Support:
    • General administrative tasks such as data entry, filing, and managing office supplies.
    • Assist in maintaining a well-organized and efficient office environment.
    • Filing, ordering office supplies, ordering lunch and booking travel
    • Answering phones and email
Qualifications:
  • Proven experience as an administrative assistant in a commercial design or related industry.
  • Strong organizational and multitasking skills.
  • Excellent communication and customer service skills.
  • Proficiency in Microsoft Office Suite and project management tools.
  • Detail-oriented with a proactive and solutions-oriented mindset.
