The Role
The Administrative & Equipment Coordinator is at the heart of ensuring the internal teams have the tools and supplies needed to provide life-saving care. This role involves significant coordination, communication, and organization across multiple bases. You’ll balance administrative tasks with hands-on support to keep equipment and supplies moving where they’re needed most.
Key Responsibilities:
Coordinate medical equipment maintenance, repairs, and vendor relationships (e.g., monitors, ventilators, portable hospital equipment).
Facilitate supply and equipment exchanges between bases (Syracuse and Rome), traveling as needed (rarely, not daily).
Ensure each site is fully stocked with the medical supplies and equipment required for operations.
Submit and track purchase orders for medical supplies.
Support hiring processes by assisting with clinician skill assessments and documentation.
Manage high volumes of email communication to coordinate needs across staff, vendors, and leadership.
Maintain organized records of equipment, supply levels, and vendor service schedules.
What We’re Looking For:
Strong administrative or coordination background; prior experience in healthcare, operations, or logistics preferred.
Exceptional organizational and communication skills — you love details and follow-through.
Ability to juggle multiple priorities while keeping calm under pressure.
Comfort with occasional travel between base locations.
A collaborative, team-focused mindset with a proactive approach.
Prior exposure to medical/clinical environments or equipment a plus, but not required.
