TES Staffing is thrilled to support a local non for profit that helps develops, finances, and manages affordable housing for seniors, individuals with special needs, and families in Rochester and our surrounding counties.  We are actively and urgently seeking a strong Administrative Operations Assistant to join this close knit, dynamic team.

Located in Gates, this role will report in person
Monday -  Friday 8:30a - 4:30p 
Salary: Depending on experience - $18-20/hr
Contract to Hire after 16 weeks.  Excellent medical benefits, fantastic PTO, 401k with match and company events
 
Job Summary:
The Administrative Operations Assistant will play a pivotal role in supporting the grant writer and therapists on staff of an incredible, local non-for-profit organization.  This individual will be responsible for assisting in conducting research for grant proposals, creating presentations for staff training, generating reports from Excel data, and assisting with various projects. The ideal candidate will be discreet, comfortable in sensitive environments, and capable of handling personal and sensitive client information with the utmost confidentiality. Additionally, they will be involved in data entry, process improvement initiatives, and maintenance oversight of an emergency shelter.
Responsibilities:
  • Researching and compiling resources for grant proposals under the guidance of the grant writer.
  • Developing PowerPoint presentations for ongoing staff training sessions.
  • Generating reports and analyzing data using Excel spreadsheets.
  • Assisting in data entry of sensitive client information into organizational systems.
  • Creating and refining processes to enhance departmental efficiency.
  • Maintaining up-to-date lists of resources relevant to the organization's mission.
  • Overseeing maintenance needs and upgrades for the emergency shelter.
  • Providing administrative support to the lead trauma therapist and other staff members as needed.
Qualifications:
  • Three plus years in relevant field or equivalent work experience.
  • Proven experience in research, data analysis, and report generation.
  • Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint.
  • Strong organizational skills with attention to detail.
  • Ability to handle sensitive information with confidentiality and discretion.
  • Excellent communication and interpersonal skills.
  • Comfortable working in a fast-paced, sensitive environment.
  • Prior experience in social services is a plus.
