Administrative Coordinator- Commercial Construction

Job Details:
This position will be responsible for maintaining the bidding schedule and will work closely with the Project Management team when inviting subcontractors to bid on projects. The position will be responsible for filling out bid forms and requesting any supplementary information that is required to be provided at the time of bid.
Monday-Friday, 8a-5p. 
Pay: Salaried, starting at $45k+.

Duties and Responsibilities:
Bid Coordination
  • Bid Coordinator
    • Prepare bid paperwork. Constantly ensuring that the bid information is kept accurate and includes all addendum(s) and required documentation.
    • Make bid calls so that bidding personnel have a better understanding of bid participation.
    • Responsible for uploading bid information to company server.
    • Maintaining ISQFT subcontractor database.
Job Coordination
  • Assist with project start-up and close out as directed by senior project coordinator.
  • Create physical job files.
  • Document scanning as required.
  • Additional tasks, as necessary.
Document Coordination
  • Tracking of Documentation
    • Maintain internal documents for all projects.  This will include certified payrolls, OSHA certification cards and minority paperwork.
  • Preparation of Documentation
    • Prepare job manuals, Employee packets, Safety Manuals, New Hire Packets

  • Answer phones
  • Welcome guests who walk into the front door
    • Direct miscellaneous vendors (utilities, staples, water delivery, exterminator).
    • Maintain kitchen & purchase sundry products when needed
  • Verizon Administration
    • Order phones & iPads
    • Maintain current lines
  • Open & Code mail
  • Additional tasks as necessary
